How to Buy Watches Wholesale: A Retailer's First-Order Checklist

Your first wholesale watch order sets your margins, your stock risk and your relationship with a supplier for years to come. This checklist covers the four things to settle before you pay: your mix, your supplier, your landed cost and the order itself.

Decide your mix before you talk to suppliers

Start from your own sales, not a supplier's catalogue. Note which brands customers ask for by name, which price bands actually sell in your store, and your split between men's and women's watches. A gift shop in Riyadh and an online store in Almaty will need very different ranges.

Keep the first order narrow. A few proven brands across two or three price bands sells through faster than a wide spread of single pieces. Cover the core styles your buyers come back for: a steel-bracelet dress watch, a chronograph, a sports or digital model and a slim ladies' piece. Widen the range once you know your sell-through, meaning the share of stock you sell in a given period.

How to vet a wholesale watch supplier

A good supplier is happy to answer hard questions in writing. Ask these before you send any money:

  • Are the watches genuine, brand-new and in original packaging? Ask what comes in the box, such as warranty cards and instruction booklets.
  • Is the stock from authorised channels or the parallel market? Parallel, or grey market, stock is genuine product sold outside a brand's official network for your region. It is legitimate, but the warranty usually comes from the supplier rather than the brand, so you need to know which one applies.
  • Will I get a proper commercial invoice? You need one for customs and for your accounts, with model references and quantities listed.
  • What are the payment and shipping terms? Get the currency, payment method and shipping term confirmed before you order. Ex-works, for example, means the price covers the goods at the supplier's warehouse and transport is extra.
  • What happens if a model sells out after I order, or arrives faulty?
  • Can I reach a real person? Test it. Send a question and see how fast and how clearly they reply.

When the stock arrives, check each caseback against the invoice. Reference numbers and serial engravings should match the model ordered and the paperwork.

Shipping, customs and import duties

Duties and import taxes on watches differ from country to country, and can depend on case material and declared value. Check your local customs rules, or ask a customs broker, before you set retail prices. As the importer, you normally pay these charges, so build them into your landed cost: the product price plus shipping, insurance, duties and taxes.

Ask your supplier which carriers they use, whether shipments are tracked and whether insurance is available. On a high-value consignment, insurance is worth the extra cost. If you sell online and would rather not hold or import stock at all, dropshipping lets us ship each order straight to your customer instead.
